Who are we?

We are Pledgeball, a UK-based charity. In this document when we say “we”, “us” or “our”, we are talking about Pledgeball. We collect and use some information about you to help us run and manage Pledgeball. This document explains how we do this. Please read it carefully and if you are under 13, please ask a parent or guardian to read it to you.

What information do we hold about you?

We may collect, use, store and transfer different kinds of personal information about you, such as:

• Information you share with us if you submit a pledge – for example, your name, email address and details of your registration/enquiry and pledge;
• Information you share with us when you enter one of our competitions – for example, if you submit photos or videos as part of a competition entry;
• If you register on our website, we store the personal information you provide in your user profile – for example, your name, username, and email address;
• Information you share with us if you contact us, for example using the “Contact Us” page of our website or by emailing us;
• Information you share with us if you offer to host an event – for example, your contact details, your name/company name and details of the event; or
• Information you share with us if you opt-in to receiving marketing from us – for example, your name and email address.

How we use your information

We are only allowed to use information about you where we have a legal reason for doing so.

We use your information to ensure you can use Pledgeball, including registering you and your pledges, to answer any questions that you have and manage your account.

Sometimes we need to use your information to protect your interests or our interests to fix any technical issues to make sure that Pledgeball works correctly and by checking that no one is using Pledgeball illegally or in the wrong way (for example, we may check comments on our website through an automated spam detection service).

If you offer to host an event, details of the event will be stored in a database and, once reviewed, published on the website. Your contact details will also be stored but will not be shown on the website.

We may use anonymised information about the pledges made for research on the impact of Pledgeball and to improve our service.

We won’t use your information for anything else unless we have checked with you first.

Marketing

You can choose whether we send you marketing and advertising emails.

If you subscribe or tick the opt-in box, we may send you other emails about your pledges and updates from Pledgeball, using the Mailchimp marketing platform. Click here for details of Mailchimp’s Privacy Practices.

You can tell us you don’t want us to send you marketing and advertising emails at any time if you want to. To unsubscribe, click on the link at the bottom of the emails.

Who we share your information with

We won’t sell your information.

We sometimes need to share your information with other people, but only:

• With other people that help us to provide Pledgeball, such as people who help to manage our website, competitions or host events you have signed up for;
• With other people that carry out marketing services for us, including Mailchimp, but only if you have told us you’d like us to send you marketing;
• If you tell us you’re happy for us to share your information with someone else; or
• If a law says that we have to share the information or if a judge orders us to do so.

We make sure that these people have committed to holding your information safely, legally, and only for the purposes of Pledgeball.

Cookies

We use “cookies” on Pledgeball. “Cookies” are things that are used by lots of websites and apps to remember who has used them before. We use cookies to help us to see who is using Pledgeball and how many people are making pledges, for example:

• If you leave a comment on our website you may choose to save your name and email address, which means that you won’t have to fill in your details again when you leave another comment on the website. A cookie helps us do this.
• If you visit our login page, we will set a temporary cookie to check if your internet accepts cookies. This cookie contains no personal information and is removed when you close your internet.
• When you log in, we will set cookies to save your login information and your screen display choices. Login cookies last for two days, and screen option cookies last for a year. If you select “Remember Me”, your login will be remembered for two weeks. If you log out of your account, the login cookies will be removed.
• If you edit or publish an article, an additional cookie will be saved on your device. This cookie includes no personal information and simply shows information in relation to the article you just edited. It expires after one day.
• Articles on this website may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if you had visited the other website. These websites may collect information about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Most cookies are removed when you close the internet but sometimes they are stored on your device for longer.

Your rights

You have a right to:

• Ask us for a copy of the information we hold about you and we will send this to you within one month;
• Ask us to send you the information we hold about you in a way that will let you re-use the information or give it to someone else;
• Ask us to correct any information we hold about you that is inaccurate;
• Ask us to delete your information, although for legal reasons we might not always be able to do it;
• Say no to us using your data for direct marketing and, sometimes, for other purposes;
• Ask us to not do anything more with your information and just store it if you think that the information is wrong and we need to check it; and
• Withdraw any consent you’ve given us, for example to send you marketing.

How long we keep your information

We won’t keep your information for longer than we need to.

Where your information is stored

We may store the information we collect from you outside the UK or transfer it to organisations outside the UK. When we do this, we will make sure that your information is protected and that:

• The UK government has decided that the country or organisation protects personal data in the same way as the UK; or
• We’ve agreed specific contractual terms approved for use in the UK which give personal data the same protection it has in the UK.

How to make a complaint

If you have a complaint about how we use your information, please send us an email at info@pledgeball.org and we’ll do our best to fix the problem.
